Car owner statements: how to settle every month without an argument

Most rent-a-car shops in Pakistan run on attached cars. Here is what a monthly owner statement needs, how commission and deductions are shown, and why owners bring more cars when they can see it.

Walk into a rent-a-car shop in Lahore, Sialkot or Karachi and count the cars that the shop actually owns. Usually a handful. The rest are attached: a Corolla from a teacher, a Cultus from someone's brother in Dubai, a Hiace from an investor who wants a monthly return. The shop rents them out, keeps a commission, and pays the owner the rest.
That arrangement runs on one document: the monthly statement. When it is right, owners stay and bring friends. When it is late, vague or argued over, the car goes to the shop next door.
What a proper statement shows
- Days rented, with dates. Not "18 days". The 6th to the 9th, the 12th to the 20th, and so on, so the owner can match it to the calls he got.
- Gross rent for each rental at the agreed daily rate, and any extra days or extra kilometres charged to the renter.
- The shop's share, whether that is a percentage (20 to 30 percent is common) or a fixed daily amount.
- Deductions with reasons: the AC repair, the tyre, the challan that arrived a month late. Each one with a date and, ideally, the receipt photo.
- Net to owner, and how and when it was paid.
Where the arguments come from
Three places, in our experience. First, the register says one number of days and the owner's memory says another, because a booking was extended by phone and never written down. Second, a deduction appears on the statement with no receipt and no date. Third, the statement arrives on the 15th, by which time the owner has already been told a different figure on the phone.
What changes when the owner has a login

Owners cannot edit anything. They see and download. Every change on your side is logged with the name of the person who made it and the time, which is the answer to "who changed my number".
The commercial point
A transparent statement is not a courtesy. It is how you take cars off other shops. An owner who can see his earnings on his phone at 11 at night tells the next owner. That is cheaper than any advertisement.
